What Groundwork generates

The documents you receive depend on your answers. Most businesses receive between two and five of the following.

AI Acceptable Use Policy

Defines which tools your team can use, what data can be entered, and what oversight is required before AI outputs are used or shared. Every business using AI needs this one.

Client and Customer AI Disclosure Policy

Sets out when and how you tell clients that AI has been used in their work. Particularly relevant for agencies, consultancies and professional services firms.

AI Data Handling Policy

Covers how personal data is handled when it passes through AI tools, which sub-processors are involved and how data retention is managed.

AI Output and IP Ownership Policy

Documents your position on who owns AI-assisted work and how you manage copyright uncertainty in client contracts.

Supplier and Vendor AI Policy

Sets minimum standards for the AI tools and vendors your business uses, including security requirements and contractual terms.

DPIA Template

A Data Protection Impact Assessment template structured for the ICO's requirements, for businesses whose AI use involves automated decisions or special category data.

How it works

You answer aa few questions about your business: your sector, your team size, how you use AI, whether you work with clients, and whether you handle personal data. The questions take about five minutes.

Based on your answers, Groundwork generates the documents that apply to your situation. Generic sections are excluded. Sector-specific clauses are included where relevant. The documents reflect current UK and EU regulatory guidance as of the date of generation.

Your documents arrive by email as Word files, ready to edit, share and use.

Who this is for

Groundwork is built for UK businesses that use AI tools in their work and need to document that use clearly. Creative agencies, marketing and PR firms, professional services businesses, consultancies and any SME that wants to answer a client's governance question with a document rather than a verbal reassurance.

It is not a substitute for legal advice. The documents are a well-researched, practically useful starting point. If your situation involves regulated sectors, high-risk AI deployment or significant international exposure, a solicitor should review them before you rely on them for compliance purposes.

The documents are cross-referenced against current ICO guidance, UK GDPR, the EU AI Act and relevant sector standards. The regulatory reference appendix in each document shows exactly what guidance was used and when.
